Introduction

This Privacy Policy ("Policy") describes how EPC Tech Private Limited ("Company"), collects, uses, processes, stores, shares, discloses and protects information of doctors and other users ("Requesting Doctors") who access or use the ILD Connect Portal or website (the "Platform").

This Policy is formulated in compliance with applicable Indian law, including the Digital Personal Data Protection Act, 2023 ("DPDP Act"), and any other applicable rules, regulations or guidelines framed or issued thereunder.

By accessing or using the Platform, you acknowledge that you have read and understood this Policy and where required under applicable law, provide your consent to the processing of your Personal Data in accordance with this Policy.

Scope and Applicability

This Policy applies to:

  • All visitors and registered users of the Platform, including Requesting Doctors and Panellist Doctors; and
  • All data or information through the Platform, including uploaded case-related data, registration details, through forms, cookies, and analytics tools.

Key Definitions

For this Policy:

  • "Personal Data" means any data about an identifiable individual.
  • "Data Principal" means the individual to whom the Personal Data relates.
  • "Data Fiduciary" means the Company, which determines the purpose and means of processing Personal Data.
  • "Requesting Doctor" means a doctor who uploads anonymized patient case details for expert review.
  • "Panellist Doctor" means a senior doctor empanelled to provide expert opinion.
  • "Data" means the caseโ€‘related information voluntarily uploaded by the Requesting Doctor, including medical reports, diagnosis, prescriptions, and other anonymized case details of their patient.
  • "Processing" includes collection, storage, use, sharing, anonymization, deletion or any operation performed on data.
  • "De-identified/Anonymized Data" means data that cannot reasonably be used to identify an individual.

Information We Collect

Information Provided by You

Registration Information (Requesting & Panellist Doctors)

To register and access the Platform, doctors may be required to provide:

  • Full name
  • Medical registration details
  • Contact information
  • Specialization and professional details

Case-Related Data (Uploaded by Requesting Doctor)

This includes:

  • Diagnostic reports
  • Case history
  • Treatment notes
  • Scans and investigation summaries

The Requesting Doctor must ensure:

  • Patient consent is obtained before uploading any case data.
  • Case details are anonymized so that the patient cannot be identified.

Health-Related Data

  • Caseโ€‘related data uploaded to the Platform may indirectly contain health information.
  • Such data is:
    • Collected solely for limited purpose of enabling expert clinical opinion-sharing between qualified Panellist Doctors and Requesting Doctors.
    • Not used to identify patients;
    • Not combined with Personal Data of patients.

Purposes of Processing

We process Personal Data and uploaded case data for the following purposes:

Core Platform Functionality

  • To facilitate expert opinions by Panellist Doctors.
  • To enable clinical discussion between Requesting Doctors and Panellist Doctors via online meetings or interactions;
  • To allow Requesting Doctors to submit anonymized case details.

Educational and Awareness Initiatives

  • To create and share educational case studies based on anonymized data.
  • To distribute awareness materials on ILD (Interstitial Lung Disease) to Medgami registered doctors and other authorized users.

Communications

  • To respond to Requesting Doctors queries related to case submissions or Platform use.

Compliance

  • To comply with applicable laws and regulatory requirements;
  • To establish, exercise, or defend legal rights.

Processing is limited to lawful purposes and based on Requesting Doctor's consent, as required under applicable law.

Data Minimization

The Company adheres to the principle of collecting the minimum data necessary for the stated purposes in this Policy.

  • Patient- identifiable details are not required and must not be uploaded.
  • Only anonymized caseโ€‘relevant data should be submitted.

Use of Data

The Company may use the collected data to:

  • Enhance Platform functionality and doctor experience.
  • Generate anonymized insights and aggregated statistics for awareness and education.

Publish non-identifiable case studies for medical learning and knowledge sharing.

The Company does not:

  • Provide medical diagnosis, treatment, or clinical advice;
  • Interfere with or influence the Requesting Doctor's medical decisions.
  • Access or collect any patient PII.

The Requesting doctor remains solely decision maker for the patient management and clinical decisions.

The Platform may use cookies and similar technologies, including:

  • Essential cookies: Required for core functionality;
  • Preference cookies: To retain user settings;
  • Analytics cookies: To understand user behaviour and improve services.

Requesting Doctor may manage or disable cookies through their browser settings.

Personal Data Collection

  • The Platform is designed to operate without requiring the collection of personally identifiable information such as name, address or contact details of the Patients whose data is uploaded.
  • The Requesting Doctor and Panel Doctors are required to register on the Website portal by providing the personal information as asked for by the portal.

Data Security

  • We implement reasonable technical and organizational measures to safeguards to protect data against unauthorized access, alteration, disclosure, or destruction.

User Rights

Subject to applicable law, the Requesting Doctors and Panellist Doctors may have the right to:

  • Access to your Personal Data;
  • Request correction or deletion;
  • Withdrawal of consent (where applicable);
  • Grievance redressal.

Requests may be directed to the Grievance officer using made using the details provided below.

Data Retention

The Company retains data only for as long as necessary for the purposes stated in this Policy, or as required under applicable law.

Anonymized and aggregated data may be stored for educational or analytical purposes without time limitation.

The Platform provides:

  • Educational materials,
  • Expert opinions for academic discussion particularly in relation to Interstitial Lung Disease (ILD).

The Platform does not provide:

  • Medical Advice
  • Diagnosis
  • Treatment

All clinical decisions are the sole responsibility of the Requesting Doctor.

Governing Law and Jurisdiction

  • This Privacy Policy shall be governed by and construed in accordance with the laws of India.
  • Courts located in Mumbai, Maharashtra shall have exclusive jurisdiction over any disputes arising in connection with this Policy.

  • The Company reserve the right to modify or update this Policy from time to time.
  • Updated versions shall be published on the Platform with the revised effective date.
